Powerbits was engaged by an aged care organisation struggling to implement a new clinical care system across four facilities. The vendor did not appear to have a complete understanding of the issues unique to the health care industry or the particular demands of the aged care sector. The replacement of RCS with ACFI had presented a new set of challenges to their system which was adding to the confusion. And everyone was very unhappy.
What did we do? Once it became clear that the current approach would not suit the organisation, we sat down with the General Manager, the DONs, the DDONs and other staff to document in their words what a successful system would look like. We then set up a small project team which included staff members to review a number of eligible packages. We created a matrix and scoring system to allow the organisation to evaluate how each proposed option met their needs. Once a system had been selected and the negotiations were complete it was now time to implement the project. Due to our long experience in helping organisations make technology work for them (and not the other way around) we knew what the biggest challenge would be for this project. It was not the speed of the computers or the size of the database or the buttons on the screen. It was how the staff accepted the new way of working introduced by a new system. And this would be influenced by how well supported they felt, their perception of the organisation's commitment to the project and how convinced they were that the end result of all this change would be to allow more time for care and less time on documentation. So we recommended that the organisation engage a registered nurse with recent experience and computer skills to head the project. This action demonstrated that the project was led by a person who would hold credibility with the staff. It was also agreed that full support be given to all staff - those never having used a computer, those close to retirement and others with English as a second language. Now with a solution that suited the organisation and an informed and reassured staff group we commenced work in rolling out the system.
The result? Now staff are fully trained and using the clinical care package to complete progress notes, assessment forms & charts and care plans. Management are now enjoying centralised reporting for all facilities and preparation for the accreditation process is now a lot less stressful. The billing team are in a better position to analyse ACFI data for opportunities to optimise funding levels.
